A successful event transport brief covers more than the venue postcode. Connect the delivery slot, stand or room, equipment list and return collection in one clear itinerary.

Work back from the venue’s receiving slot.

Give the event name, date, venue entrance and actual receiving window. The public opening time may have little to do with when goods can enter. Include the organiser’s delivery instructions, loading-bay booking, stand or room number and any vehicle registration deadline.

Our event and exhibition courier service covers enquiries for journeys into Cornwall, outward deliveries and UK-wide events. Availability and the transport plan are checked against the itinerary; an enquiry does not reserve a venue slot or vehicle.

Keep the load list separate for each journey.

List transport cases, display components, cartons, crates and pallets with packaged dimensions and weights. Record the travel position for equipment that must stay upright, and identify anything that cannot be stacked. Include loose accessories within the item count rather than leaving them to be added at collection.

  • Confirm what travels out and what needs to return.
  • Give the name and contact details of each handover contact.
  • Explain loading equipment, carrying distances and additional people required.
  • Flag steps, lifts, vehicle-height limits and restricted parking.

Make breakdown time a usable collection time.

An event finishing at 17:00 does not necessarily mean the goods will be ready at 17:00. Allow for dismantling, packing and movement to the agreed collection point. Tell us the earliest packed-ready time and when access closes, then identify who can release the return load.

If equipment is returning to several suppliers, list each stop and the goods for that address. Waiting, extra stops or additional handling should be described when requesting the quote, so the arrangements and charges can be considered together.

Include the full itinerary for international events.

For a European or worldwide event, provide both countries, the venue schedule, goods value and whether the equipment is travelling temporarily. Outward and return paperwork may need separate consideration. Email the brief through our international delivery enquiry route before agreeing transport.

Use a quote for a simple one-way UK journey. For an exhibition programme or recurring event work, email the itinerary or discuss a trade account alongside the service.

Can you arrange a return collection after a delivery or event?

Yes, send the outward and return requirements together. Include both sets of addresses and dates, what will travel in each direction and when the returning goods will be packed and accessible. A return journey is not automatically included in the outward price or covered by its receiving appointment; the complete arrangement needs confirmation.

Can I request a fixed delivery time or receiving appointment?

Yes. Give the exact appointment, correct receiving entrance and a contact who can accept the goods. Dedicated and Premium allow requested dates and times for review. Standard uses flexible, operator-selected days, so a fixed appointment needs review for Premium or Dedicated. Fixed appointments are outside Economy. Make clear whether the deadline means arrival at the gate or completed unloading and handover.

What if the goods or recipient will not be ready?

Contact booking support as soon as you know, using the booking reference. Give the new ready time or receiving restriction and confirm whether the original delivery deadline still applies. Waiting, a failed handover or a revised movement may affect the plan and price. Do not assume the driver can wait indefinitely or leave the goods somewhere else without agreement.

Does choosing a Luton include a tail lift or pallet truck?

Do not assume that a category name confirms equipment availability or suitability for your load. State the equipment needed at each address. The actual lift platform, safe working load, combined weight being lifted and ground conditions need checking separately from the vehicle payload. Include the weight of any handling equipment that must travel on the lift.
